  • Entry data: your submitted content, motivation text, content links, metrics and growth data, supporting attachments
  • Authentication data: a one-time password (OTP) sent to your email address to verify sign-in
  • Voting data: when public voting is available, we log your vote and a reference to your authenticated session
  • Technical data: IP address, browser and device information, and basic analytics collected by our hosting provider

3. How We Collect It

  • Directly from you when you register, submit an entry, update your profile, upload files, or contact us
  • Automatically through your use of the website (for example, through analytics and logs)
  • From third parties where you have chosen to share information with us (for example, if you paste a public social media URL into your entry)

4. Why We Use It

We use your personal information for the following purposes:

  • To administer your entry and account
  • To verify eligibility and identity
  • To enable judges to review and score entries
  • To communicate with you about your entry, shortlist status, and the ceremony
  • To publish shortlisted and winning entries on our website and social media

5. Legal Basis Under POPIA

  • Service providers: our infrastructure relies on carefully chosen third-party providers, including Supabase (database and storage hosting in the European Union), Resend (transactional email delivery), and Vercel (website hosting and analytics)

We do not sell your personal information to third parties for their own marketing purposes.

7. Cross-Border Transfers

Some of our service providers are located outside South Africa (Supabase in the European Union, Resend and Vercel in the United States). Where your data is transferred outside South Africa, we rely on providers that apply equivalent data protection standards, contractual safeguards, or other legally recognised transfer mechanisms.

8. Data Retention

We keep your personal information only for as long as it is needed for the purposes set out in this Privacy Policy:

  • Entry data: retained for at least three years after the relevant awards ceremony for archival, audit, and verification purposes
  • Account data: retained until you delete your account or request deletion
  • Marketing data: retained until you opt out or request deletion
  • Authentication and technical logs: retained for a short period in line with industry security best practice

Under POPIA, you have the right to:

We currently rely on first-party analytics from our hosting provider (Vercel) and do not use third-party advertising trackers. Most browsers allow you to control cookies through their settings.

The competition is intended for entrants aged 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
